Global Relay and Moxo

Global Relay is a commonly used solution for organizations that require secure and compliant data storage for all communications. When integrated with Moxo, it allows you to record and store all your portal interactions securely in Global Relay’s cloud-based system. This integration is crucial for businesses that need to ensure that all communications are archived for legal, regulatory, and compliance purposes.

In this guide, we will walk you through the steps of setting up Global Relay in Moxo. By following these steps, you will be able to share data from your Moxo Portal with Global Relay, ensuring that all relevant communications are captured and securely stored.


Moxo's Global Relay Integration 

Moxo's Global Relay connector logs any workspaces taking place in Moxo into your Global Relay archiving solution. 

First, Moxo configures Global Relay information to connect to your Global Relay account. Next, Moxo schedules a daily job that runs every day at a specified time, and logs the interactions as emails in your Global Relay system. 

 

Prerequisites

Before starting the setup process, ensure you have the following information available:

  • Access to the Admin portal in Moxo.
  • Necessary SMTP (Simple Mail Transfer Protocol) details from your Global Relay team.
  • Administrative rights to configure connectors in Moxo.

 

Configuring the Global Relay Integration

  1. Go to your Moxo Admin portal.
  2. From the left-side menu, navigate to the Connectors tab.
  3. In the list of available connectors, select Global Relay if enabled. 
  4. After selecting Global Relay, you'll see the option to Setup. Click on this to start the configuration process. This will enable Moxo to record all your portal interactions and store them in Global Relay. 
  5. Next, you will be directed to the Global Relay Connector Setup page. 
  6. Fill in several connection details as follows:
    • Global Relay Connector Setup: You will be presented with two main sections to configure. 
      • Sync Settings
        • Set a Time: Select a time for the data sync to run every day. This determines when Moxo will sync data with Global Relay. You'll want to choose a specific time each day for this to occur automatically. 
        • Select a Time Zone: Set the time zone based on your location or the location that is most relevant for your business. This ensures that the synchronization happens at the right time in your local context. 
      • Connection Details: now you need to provide the required SMTP details. SMTP (Simple Mail Transfer Protocol) is a protocol used to send emails between servers. In this context, it’s required to connect Moxo with Global Relay for email-related communication and archiving.
        • SMTP Server Address: This is the address of the email server used to send and receive emails. Typically, this will be provided by your Global Relay team or email service provider (such as Gmail, Microsoft Outlook, etc.). It is essential for routing emails correctly. For example, Gmail could be smtp.gmail.com
        • SMTP Port: This is the specific port number used for communication with the SMTP server. This may vary depending on your service provider. 
        • Receiver Address: This is the email address where Moxo will send the communications to be archived in Global Relay. This email address will be provided by Global Relay, as it’s where the records will be stored.
        • SMTP Username: This is the username that Moxo will use to authenticate when sending emails to the SMTP server. This will usually be your email address or an admin’s email address, depending on how your system is set up.
        • SMTP Password: This is the password associated with the SMTP username (email address) provided above. It’s required to authenticate the connection to the email server.
  7. Once you've filled in all the required connection details, you’ll have the option to Test Connection. This step ensures the details you've entered are correct and that Moxo can successfully connect to the Global Relay server.
    • Why is this important?
      • The Test Connection button checks if the SMTP settings are valid and if Moxo can communicate with the Global Relay system. If there is an issue with the connection (e.g., incorrect server address, wrong port, or authentication failure), the test will fail with an alert- “Unable to establish connection” and you can fix the problem before proceeding.
    • What happens if the test is successful?
      • If the test is successful, you’ll see a successful test run text - '"Connection Successful”. Then the connection is correctly established, and you can move on to the final step.
  8. Once the connection has been successfully tested, click on Save Changes. This will finalize the integration and store the configuration settings in Moxo.

For every workspace containing new activity during the day, Moxo will send one email to Global Relay which includes all the updates that took place in the workspace. If four conversations have updates, four separate emails will be sent to Global Relay. 

Each email will include all new interactions from the workspace - every message exchanged, links to any files that were uploaded into the workspace, user activity like completing actions etc.
