Redtail and Moxo

Redtail is a client relationship management (CRM) solution that helps businesses, especially financial advisors, manage client data, automate workflows, and streamline business operations. Integrating Redtail into Moxo allows businesses to enhance their client management processes and improve communication. In this guide, we’ll walk you through the steps to set up Redtail as a connector in Moxo.

The Moxo Redtail integration enables seamless logging of client activity from the Moxo platform directly into your Redtail CRM. Set up a daily job to automatically log updates for workspaces and activities, ensuring your Redtail CRM stays in sync with all Moxo interactions, including workspace actions, files, meetings, e-signatures, annotations, and more.

 

Prerequisites and Setup

Before starting the configuration process, it's important to ensure you have the following: 

  • Access to the Admin portal in Moxo.
  • Necessary credentials for Redtail, username and password, from your Redtail team.
  • Administrative rights to configure connectors in Moxo. 

 

To setup Redtail in Moxo:

  1. Go to your Moxo Admin portal.
  2. From the left-hand menu, navigate to Connectors.
  3. In the list of available connectors, select Redtail, if enabled.




  4. After selecting Redtail, you’ll see the option to Setup. Click on this to start the configuration process. This will enable Moxo to record all your Portal interactions and store them in Redtail.
  5. Then you will be directed to the Redtail Connector Setup page.

  6. Fill in the required setup details - Sync Settings and Connection Details:
    • Sync Settings:
      • Set a Time: Select a time for the data sync to run every day. This determines when Moxo will sync data with Redtail. You'll want to choose a specific time each day for this to occur automatically. 
      • Select a Time Zone: Set the time zone based on your location or the location that is most relevant for your business. This ensures that the synchronization happens at the right time in your local context. 
    • Connection Details:
    • Environment: Choose the environment for the connection from the following options:
      • Production: This is the live environment where actual client data is stored. Use this when you're ready for the integration to go live.
      • Sandbox: A test environment that mirrors the production environment but contains test data. It allows you to test the integration without affecting actual client data. Sandbox is used primarily for testing purposes, ensuring everything works properly before moving to the live (production) system.
    • Username: Enter the Redtail username provided to you. This is typically your login username for Redtail.
    • Password: Enter the password associated with the username. 
  7. Once you've filled in all the required connection details. you will have the option to Test Connection
    • Why is this important?
      • The Test Connection button checks whether the details you've entered are correct and ensures that Moxo can communicate with the Redtail system.
      • If the test is unsuccessful, you will receive an error message saying “Unable to establish connection” that can help identify the issue (e.g., incorrect username, wrong password, or issues with the environment). This step allows you to troubleshoot before proceeding.
  8. Once the connection is successfully tested, click on Save Changes to finalize the integration and store your configuration settings in Moxo. This will link your Moxo portal with Redtail, ensuring client data and communication are efficiently synchronized between both platforms.

Using the Redtail and Moxo Integration

Once you've set up Redtail with Moxo, you can continue to monitor the data-sync based on a few key details:

  • Sync Runs: The sync will run at the time you've configured during the setup.
  • Sync Fetches Updates: The sync fetches updates to any conversations from the past 24 hours and logs them as client activity in your Redtail CRM.

  • Client Matching: The client’s email field is used to match a client's Moxo account to their Redtail CRM account, ensuring that the correct data is logged for each client.






  • View Sync History: You can view a complete history of all daily syncs from the management portal.
  • Track Sync Status: View results of each sync (SUCCESS/FAILURE) to track the status and ensure correct integration setup.
  • Sync Details: View details about each sync, such as the number of workspaces, users, and messages synced.
