The Moxo Filevine connector enables you to seamlessly log all client interactions from Moxo directly into the corresponding Filevine project. This integration helps keep your cases in Filevine completely in sync with all client-related activities on Moxo, including workspaces, actions, files, meetings, annotations, and more.
By setting up this integration, all updates to workspaces in Moxo are automatically logged in Filevine, ensuring all your interaction history with clients is accurately captured within Filevine.
Prerequisites
First, begin by configuring your Filevine account details in the Moxo admin portal to connect Moxo with your Filevine projects. Moxo schedules a daily job to log updates from workspaces, and sync them with the corresponding Filevine project.
Next, enter the Filevine Project ID in the settings of any Moxo workspace that should sync data back to Filevine.
Before starting the set up process, ensure you have the following readily available:
- Access to the Moxo Admin portal.
- Administrative rights to configure connectors in Moxo.
- Filevine API Key and API Secret provided by your Filevine team.
- Filevine Project ID for the relevant project(s) you wish to sync with.
Setting up Filevine in Moxo
- Go to your Moxo Admin portal.
- From the left-hand toolbar, navigate to Connectors.
- In the list of available connectors, find and select Filevine (if enabled).
- After selecting Filevine, click on Setup to begin the configuration process. This will enable Moxo to record all your interactions and securely store them in Filevine.
- Once you've clicked on Setup, you'll be directed to the Filevine Connector Setup page, where you will need to fill in several connection details:
- Sync Settings
- Select a time to run every day at the same time: This setting determines when Moxo will sync data with Filevine. Choose a time for this process to occur automatically each day.
- Select the time zone: Set the time zone to match the location of your business. This ensures the synchronization occurs at the same time.
- Connection Details
- Base URL: Enter your Filevine URL (e.g., https://yourcompany.filevine.com) where your Filevine account is hosted.
- API Key and API Secret: Enter the API Key and API Secret provided by your Filevine team. These are necessary for authenticating the connection between Moxo and Filevine.
- Sync Settings
- After filling in the required details, click on Test Connection to verify that Moxo can successfully connect to the Filevine server.
- If the connection test is successful, you will see a confirmation message saying "Connection Successful." You can then proceed to final steps.
- If the connection fails, you will receive an error message saying "Unable to establish connection." You will then need to review and correct the details before proceeding.
- Once the connection is successfully tested, click on Save Changes to store your settings and complete the setup.
Linking Moxo Workspaces to Filevine Projects
- Go to the Moxo workspace you would like to link to a Filevine project.
- Click on the 'Settings' icon in the workspace.
- Enter the Filevine Project ID in the workspace settings section for any workspace that should be synced with Filevine.
- After entering the Project ID, click on Test to ensure the connection is running properly.
How does this work?
Once the Filevine connector is set up, Moxo automatically runs a daily data sync at your specified time. Each day, Moxo pulls updates from any workspace linked to a Filevine Project ID, capturing changes from the past 24 hours. These updates are then logged as project activity within the corresponding Filevine project.
You can view a list of all Moxo workspace activity within Filevine under the corresponding Filevine project.
Monitoring the Filevine integration
Manage and track your the data synced in Filevine using the easy to use monitoring section in the Admin portal. Track each daily sync, monitor statuses to ensure the integration is working as expected, and review detailed info on each sync - such as the number of workspaces, users, messages synced, action data, and more.
