The Jotform action allows you to embed a Jotform directly inside a Moxo workspace, enabling clients or team members to open and complete the form without ever leaving Moxo. Responses are automatically captured and stored in both platforms, ensuring seamless and organized data capture.
Adding the Jotform Action to a Flow Workspace
- Click the ‘...’ icon in the Flow Workspace and select + Add New Action.
- Scroll down to the Integrations section of the pop up menu. If Jotform is already configured, click on it. If not, click on More Integrations and add Jotform.
- Choose the position where you want to add the Jotform action and click + Add here.
Adding the Jotform Action to a Template
- In the Flow Builder, locate the step where Jotform should be inserted.
- Go to the Integrations section. If Jotform is already configured, click on it. If not, click on More Integrations and add Jotform.
- Drag and drop Jotform from the left-hand control panel, or click the "+" icon between action steps and select Jotform.
Configuring the Jotform Action
In the integration menu, choose Jotform from the available systems.
- Click Connect and follow the prompts to connect to your Jotform account. This step will only be required the first time you use the integration.
- Once authorized, configure the action details:
- Title*: Provide a title for the action.
- Description: Add context for what the form is collecting.
- Due Date: Set a preset timeline or configure a custom action due date.
- Users can exclude weekends when setting due dates for actions. When enabled, weekends will be skipped in the calculation of due dates, ensuring that deadlines fall only on weekdays.

- Toggle on Skip Sequential Order if required, to ensure this action can be completed in parallel with the previous action in the Flow.
- Who needs to complete this?: Assign a role if this is in a template with roles.
- Click Next to continue.
- Now, select an existing form from Jotform and click Next.
- To connect Moxo to Jotform:
- Add a Short Text Element to your Jotform titled “Moxo Submission ID”.
- Go to the element’s Properties > Advanced.
- Toggle Hide field ON.
- Set the Unique Name to “MoxoSubmissionID” under Field Details.
- To connect Moxo to Jotform:
- Next, specify whether you want the form to be pre-populated with existing data, then click Next.
- Click Add to embedd the Jotform action into the workspace.
Managing the Jotform Action
In a live Flow Workspace:
- Click the Jotform action in the Flow.
- Select the ellipses ‘...’ icon for options to Edit, Mark as Completed, or Delete.
In a template:
- Hover over the Jotform action.
- Select Edit, Duplicate, or Delete.
Send reminders manually:
- Navigate to the pending action.
- Click the ‘...’ icon next to the assignee.
- Select Send Reminder. A timestamp of the last reminder will appear if you have already sent a reminder.
Assignee Experience
When a user is assigned a Jotform action, they will experience it as a seamless part of the Flow. Notifications appear in the interaction panel when an action is assigned.
To complete the Jotform:
- Click on the Jotform action or Review and start filling out the form.
- The Jotform will load directly inside Moxo.
- Fill in the required details and click Finish.
- The Jotform action in the workspace will automatically be marked as completed.
Best Practices
- Form Accessibility: Ensure the Jotform is set to be accessible by assignees. Update form permissions if it’s restricted or password-protected.
- Pre-Populated Fields: Users can use pre-fill options to reduce friction and personalize forms for clients. Leverage DDR to automatically pre-populate Jotforms with data collected in the Flow.
Testing: Always test the form once before assigning it to ensure the integration and submission ID are working correctly.
