Prerequisites and Setup
Before you begin configuring the integration, make sure you have the following:
- Access to the Admin portal in Moxo
- HubSpot API key for authentication
- Administrative rights to configure connectors in Moxo
Setting Up the HubSpot Connector in Moxo
- Go to your Moxo Admin portal.
- From the left-hand menu, navigate to Connectors.
- In the list of available connectors, select HubSpot.
- After selecting HubSpot, click Setup to begin the configuration process. This will allow Moxo to record and sync your portal activity with your HubSpot.
- You will be directed to the HubSpot Connector Setup page, where you'll need to enter the following configuration details.
Connecting to HubSpot
- Sync Settings:
- Set a Time: Choose a specific time of day for the data sync to run. This defines when Moxo will push updated client activity into HubSpot.
- Select a Time Zone: Set the time zone relevant to your business or team location to ensure timely synchronization.
- Connection Details:
- API Key: Enter your HubSpot API key to establish a secure connection between Moxo and your HubSpot account.

- Once all fields are filled out, click Test Connection to verify that Moxo can successfully connect to your HubSpot account.
- The Test Connection step validates your credentials and ensures communication between Moxo and HubSpot is functioning correctly. If the connection fails, you’ll receive an error message (e.g., invalid API key or network issue), enabling you to troubleshoot before moving forward.
- After a successful test, click Save Changes to finalize the integration and store your configuration.
How does this work?
Once connected, your HubSpot integration will begin syncing client activity automatically based on your configuration.
Data Sync Behavior:
- Scheduled Syncs: The sync will run daily at the time you’ve configured.
- 24-Hour Activity Window: Moxo will fetch all relevant activity from the previous 24 hours - including messages, meetings, documents, and more - and log it as client activity in HubSpot.
- Client Matching: Moxo uses the client's email address to match activity to the correct contact in HubSpot, ensuring accurate and personalized records.
A detailed activity log is created in HubSpot, including links to shared documents, e-signature statuses, and even video recordings from meetings held in Moxo.
Monitoring HubSpot Data Sync
You can monitor and manage your HubSpot integration from the Moxo Admin portal:
- View Sync History: Access the complete history of daily syncs.
- Track Sync Status: Check whether each sync was successful or failed, helping you ensure that the integration is functioning properly.
- Review Sync Details: View granular details for each sync job, including the number of conversations, users, and messages processed.
