Google Form Trigger

Integrating Google Forms with Moxo allows you to automatically initiate workflows whenever a new form response is submitted. This helps businesses eliminate manual monitoring of submissions and ensures that every client inquiry, lead capture, or feedback form instantly triggers the right process in Moxo.


Setting up a Google Form trigger

  1. Navigate to the Library.
  2. Click Create and select Flow Workspace to start a new template, or select an existing one and click Edit.
     


 

  1. Click Add in the Flow Start section to set up a new trigger.
     


 

  1. From the trigger types, select Apps (for third-party apps).
  2. Select Google Forms from the supported third-party apps.
     


 

  1. Choose a trigger event, from the dropdown (New Form Submission).
  2. Connect your Google account and authorize access if prompted.
  3. Set the activation time, when the trigger should start listening for submissions and click Next.
  4. From the dropdown menu, choose the specific Google Form you want to connect and click Next.

     


 

  1. Define the Trigger Logic: Choose when the workflow should trigger:
  • None: Trigger on all form submissions.
  • Form Trigger: Trigger only when specific questions or fields match defined criteria (e.g., “Service Type = Premium”).
     


 

  1. Click Next to proceed.
  2. Fill in workspace properties details-  Workspace Properties, including the Workspace Name and Workspace Owner (required fields). 
  3. In the Roles section, click the ‘{.}’ autofill icon and select Respondent email from the trigger to set it as the email address for the client role. This ensures smoother data capture and mapping.
     


 

  1. Leverage DDR by clicking on the {.}’ autofill icon to pull data directly from your Google Form and workspace metadata.
  2.  Once mapping is complete, click Save.
     


 


 

When a Google Form is submitted, Moxo will automatically initiate the corresponding workflow based on your setup.
 


 

While setting up the Google Form in Settings, make sure to change Collect email addresses to Responder input before publishing the form.

 

Managing Triggers in Flow Templates

Flow templates that include a trigger will display a trigger icon in the library. 

Once you choose the desired flow template with trigger, click on the “...” ellipsis icon to either edit or delete the trigger.

 

Status Indicators in the Flow Template:

 

  • Active: Trigger is ready and monitoring events.
  • Inactive: Trigger is paused.
  • Error: Issue with the trigger (e.g., connection failure). Click the error message for troubleshooting tips.
     

Example Use Cases

  • Client Onboarding: Automatically create a workspace when a client fills out an onboarding form.
  • Lead Management: Trigger follow-up flows when a prospect submits an inquiry.
  • Feedback Processing: Launch review or escalation workflows when feedback forms are submitted.
