AI Chat Assistant

The AI Chat Assistant provides in-flow guidance, answering questions directly within workspace chats and action threads. When invoked by @mention or the Ask AI button, it references connected knowledge sources and the last 15 messages in its mention thread to respond with context that reflects the work in progress. This reduces manual coordination and repetitive questions during execution, helping participants move steps forward while keeping guidance consistent and grounded in the process.

Admin Configuration



 

  1. Navigate to the Manage tab and click on AI Agents.
  2. Toggle on the AI Chat Assistant.


     
  3. Go to Connections and select an AI Service:
    • Moxo AI (default), or
    • Connect an external LLM via API key (ChatGPT, Gemini, Claude).



       
  4. Open Advanced Settings to refine behavior:
    • Additional Prompt: Add process-specific or scope-narrowing instructions (e.g., “Focus only on onboarding questions.”)
    • Response Restrictions: Limit what the assistant can address (e.g., “Do not offer legal or financial advice.”)


       
  5. In the Knowledge Base, attach approved documents or URLs the assistant can reference.
  6. Select Assistant Details to configure preferences:
    • Upload an icon image 
    • Assign a name
    • Choose the preferred Assistant Tone.
      • Formal
      • Friendly
      • Concise
      • Detailed
  7. Click Save to apply all settings.

 

Flow Template-Level Configuration 

Flow owners can customize how the Chat Assistant behaves inside a specific flow:


 

  1. Open the intended Flow Template and click Edit.
  2. In Details, locate the AI Chat Assistant configuration feature.
  3. Click Update Configuration.


     
  4. Under Knowledge Base, click Add Document to upload process-specific knowledge sources. 
  5. Add any Additional Prompts or Response Restrictions to fine-tune the agent's answers within the flow. 
  6. Click Save to apply the configuration to that template.

 

Client Experience

Here’s what assignees will experience when using the AI Chat Assistant:


 

  • Users invoke the assistant by @mentioning it directly in workspace chats or action comment threads, or by clicking the Ask AI icon. 
  • The assistant responds using context from:
    • The prior 15 messages in the main workspace chat, or the last 15 messages in the action thread
    • Any attached knowledge sources
  • Responses appear instantly, helping users stay on track without needing human intervention.

  • Maintain your knowledge base as a living resource, updating documents and links as information changes to keep responses accurate.
