Templates

To view your templates, access the Templates section by clicking Library in the top navigation bar. 

Under the Templates section, you have the option to create Templates for three types of commonly used functions in your portal:

  • Flow Workspace 
  • Action
  • Milestones

Templates streamline processes by enabling you to create ready-made, reusable versions of your most commonly used workflows, actions, and milestones.

 

Flow Workspace Templates

In this page, you will see all of your saved Flow Workspace templates, including any templates that other internal users have shared. 

Add a new Flow Workspace template to this page by importing a pre-made template from the template gallery or creating a new template by clicking + New Template in the right corner. 

You can create a Flow workspace by using a template directly from the Flow Workspace Templates page in the Library. Hover over the template you’d like to use and click Use to start a new workspace, based on this template. 


 

To efficiently manage and locate specific Flow templates, you can use the search and sorting options available at the top of the Flow Workspace Templates page. Use the 'Filter by name' search bar at the top of the Flow Workspace Templates page to enter keywords and quickly find templates that match your criteria. 

 

 

Sort templates by Last UsedAction NameLast Modified, or Created to find the most relevant ones. Filter templates to view All TemplatesCreated by You, or Created by Others for easy access and organization.

 

Creating Flow Workspace Template Folders 

To efficiently manage organization of your flow workspace templates and control who has access to specific flow templates, you can create dedicated folders in the Library section. To get started:

 

  1. Navigate to the Library
  2. Click on + Create under the Library section. 
  3. Select Folder from the options provided.
  4. Enter a name for your new folder, which will house your flow templates. 
  5. Choose the access settings: 
    • You can share the folder with All Internal Users or select Specific Users.
  6. Once done, click Create

You cannot create subfolders in the Template Library.

 

Manage Your Folder

After the folder is created, click on the ellipsis '...' icon next to the folder name to manage it. You will have several options:

  • View Shared Users: See who the folder is shared with 
  • Rename Folder: Modify the folder name 
  • Transfer Ownership: Assign the folder ownership to another internal user
  • Delete Folder: Remove the folder if it's no longer needed

 

Adding Flow Templates to Your Folder

  1. Click on the folder you've just created.
  2. Click on + New Template to start building a new flow template from scratch.
  3. If you want to add pre-existing flow templates, locate the desired template, click on the ellipsis '...' icon next to it.
  4. Select Move from the dropdown menu. 
  5. Choose the appropriate folder, then click on Move to finalize.

 

Action Templates

Action templates are the building blocks of Flow Workspaces. Each action, such as approvals, acknowledgments, e-signatures, to-dos, file requests, forms, and time bookings, can be templated to streamline workflow creation, particularly for recurring processes.




To create a new Action Template:

  1. Navigate to the Library tab in the top toolbar, then click the Action tab on the left side. This page will display all action templates created and shared within your organization.



  2. Click +Create. Select the type of action for the template or choose to create a folder for organizing related templates.



  3. Provide the title, description, and due date for the action template. Click Next.
  4. Assign a clear name and optional description. Specify the storage location, either in the Action Templates section or a specific folder. Preview your template on the right side.
  5. Click Create to save the new action template.

 

Managing Action Templates:

Use, edit, rename, duplicate, move, or delete action templates using options available when hovering over the template in the list.

 

Using an Action Template:

  1. Hover over the action template you wish to use.
  2. Click Use, which appears on the right.



  3. Choose whether to add the action to an existing workspace or create a new one. Click Next.
  4. Review the action details, make any necessary edits, and assign it accordingly.
  5. Click Send to add the action to the selected workspace.

 

Additional Management Options:

  • View Access: To see who the template is shared with, click the ‘...' ellipsis icon, select Shared With, and a list of users with access will be displayed.
  • Edit: To make changes, click Edit from the ‘' ellipsis icon menu, adjust the action details, and Save.
  • Rename: To rename a template, select Rename from the ‘' ellipsis icon menu, edit the name in the field that appears, and click outside to save.
  • Duplicate: To duplicate a template, choose Duplicate from the ‘...' ellipsis icon menu. A new editable duplicate will appear in the list.
  • Move: To relocate a template, select Move, choose the new folder destination in the popup, and confirm.
  • Delete: To delete a template, click Delete from the ‘...' ellipsis icon menu, and confirm in the popup that appears.



These options provide comprehensive control over action templates, ensuring they can be efficiently utilized, updated, or reorganized as needed within your Moxo environment.

 

 

Milestone Templates

Milestone templates help manage the recurring use of the same milestones, often times used in recurring processes. With Milestones, organize actions within a flow into key stages, making it easier to track progress in larger processes.


Creating a New Milestone Template:

  1. In the Library, click the Milestone tab on the left side to view the Milestone Templates page.



  2. Click the +Create. Choose Milestone to start a new template or Folder to organize multiple templates.



  3. Enter the title and an optional description. Add at least one role and click Next.
  4. Use the drag-and-drop builder to add actions to the Milestone. Click Next after adding the necessary actions.
  5. Provide a name, location (default is Library), and an optional description for the milestone template.
  6. Click Create to save the new milestone template.

 

Managing Milestone Templates:

Similar to action templates, milestone templates can be used, edited, renamed, duplicated, moved, or deleted. Use the ellipsis menu on each template to access these options, ensuring flexible management of milestones.
