Workspace Tags Overview

Workspace Tags offer enhanced customization and reporting capabilities, empowering admins and internal users to define, categorize, and filter workspaces with precision. This feature streamlines workspace management and improves operational efficiency by allowing users to filter timelines and workspaces based on properties such as account name, project stage, health score, and more. Workspace Tags can be applied manually or automatically through flow templates, making them a powerful tool for both one-off and recurring processes. 

By creating user-defined tags categorized as either List or Text, Organization Administrators allow all internal users to leverage this feature for data-driven reporting, insightful filtering, and enhanced reporting across all workspace types. With enhanced filtering capabilities, Workspace Tags offer smarter visibility and usage across your workflows. With timeline filter logic, filter your workspaces based on Workspace Tags - ensuring a more relevant and focused view.

 

Key Benefits of Workspace Tags

Enhanced Customization:

    • Define and categorize workspaces to align with specific business needs, such as client type, support level, or account type.

Improved Filtering Capabilities:

    • Quickly locate and filter workspaces using defined properties, enabling easier access to relevant information.

Flexible Management:

    • Allow internal users to edit and apply workspace properties seamlessly, ensuring adaptability in workflows.
    • URLs added as text appear as clickable and embedded links, ideal for contextual navigation within workspace headers and descriptions. 

Streamlined Client Management:

    • Manage client accounts, service tiers, and custom data effectively by associating attributes like health scores or CRM deal IDs with workspaces.

Workspace Tags as a Data Source

  • Workspace Tags can be used with DDR and while adding Internal Automations. While adding any action in a flow, Workspace Tags as a data source can be pulled in action descriptions. This makes it easier to leverage Workspace Tags dynamically across your processes, improving automation and consistency in data handling.

 

Creating a New Workspace Tag

  1. Navigate to the Admin section.
  2. Click Workspace Tags in the left-side panel.



  3. Click New Tag.
  4. Enter a Tag Name (e.g., Client Type, Account Type).



  5. Choose the Tag Type:
    • List: Create a dropdown menu with multiple options (e.g., Premium, Standard).
    • Text: Allow free-text entry.



  6. Click Add to create the Tag.

 

Editing and Applying Workspace Tags

For Flow Workspaces

  1. Open the desired Flow Workspace.
  2. Click the '...' ellipsis icon.
  3. Follow the same steps as for 1:1 and Group Workspaces.

For 1:1 and Group Workspaces

  1. Open the desired workspace.
  2. Click the '...' ellipsis icon in the workspace.
  3. Select Workspace Tags from the dropdown menu.
  4. Click Edit Tags.
  5. Choose or enter values for the defined tags.
  6. Click Save Changes.

Managing Workspace Tags for Flow Templates

  1. Go to the Library section.
  2. Select the desired flow template and click Edit.
  3. In the left-side panel, go to Details and scroll down to Workspace Tags.
  4. Click Edit to modify the tag values.
  5. Click Save Changes to apply updates.

Use Timeline Filter Logic with Workspace Tags

Easily focus on what matters most in your workspace timeline. The timeline filter logic makes your workspace experience more relevant and streamlined. Applying filters to your timeline, you’ll only see tags from workspaces you are a part of - no more clutter from unrelated workspaces. This means you can quickly surface the most important updates, projects, or tasks based on the tags you’ve access to within your own workspaces. 

Steps to Filter your Timeline using Workspace Tags

  1. Navigate to the Home Page

  2. Click on the Filter icon in your workspace timeline view.

  3. Next, click on More Filters to expand your filtering options.

  4. On the right side, you’ll see a list of your previously created Workspace Tags. Use these to filter your timeline to only focus on specific workspaces.

Filtering with Workspace Tags in the Manage Tab

Workspace tags are fully integrated into the Manage tab, enabling teams to filter and customize dashboard views using these tags. In both Manage Workspaces and Manage Actions, tags can be used as filter criteria to surface the most relevant items. For example:

  • Filter workspaces tagged as “Onboarding” and “High Priority” to focus on critical new clients.
  • Create a saved view that shows only workspaces tagged “Q2 Launch” for a marketing campaign.
  • In the Actions dashboard, view only items tagged “Follow-up Needed” or “Legal Review” to focus on next steps.

These filters can be combined with other conditions (such as owner, status, or due date) and saved as custom views for repeated use.
