The Actions Report in the Manage section offers a comprehensive dashboard to track, filter, and analyze all your active, completed, and overdue actions. With an advanced filtering system, customizable views, and export capabilities, this report empowers you to gain actionable insights and optimize action management.
Accessing the Actions Report
- Navigate to the Manage tab from the top navigation bar.
- On the Manage page, locate the Reports section on the left-hand toolbar.
- From the dropdown menu, select Actions.
- The Actions Report page provides access to a variety of filters, view options, and data exports.
Components of the Report
The Actions report displays all actions across your workspaces and contains seven columns with the following details:

Action Name - This column shows the name of the open action. This is the name entered when creating the action.

Workspace Name - This column displays the name of the workspace where the open action is.

Status - This column shows the current status of the action. For instance, when an action has no set due date, it will be labeled as “In Progress”. If an action has a specific due date, but that date has not yet arrived, it will be labeled as 'Due in # of days'. And, finally, any action with a due date that has already passed will be labeled as 'Overdue'.

Assignee - This column lists the user to whom the open action is assigned to.

Due Date - This column shows the due date set for the specified action.

Created By - This column displays the user who created the action.

Duration - This column shows the time elapsed between when the action was created and now.
Filter Actions Efficiently
Click on Filters to access the various filter options.
Quick Filters: Use these for fast access to basic conditions:

Status-Based Filters: Filter actions which are In Progress (Open Actions), Due Today, Due Tomorrow, Due in 7 Days, Overdue, or Completed.

Workspace Type: Filter your desired actions in Flow Workspaces, Group Workspaces, or One-on-One Workspaces.

Client Workspaces: Filter actions based on certain client workspaces.
- Ownership & Participation: Filter by actions by Workspace Owner or Member or Assignee.
- Templates: Filter by workspace templates and any associated current action (if applicable).
- Action Type: Choose the action type from the given options based on your requirement.
Advanced Filters: For more granular control, add up to 10 conditions with AND/OR logic. The filters applied in quick filters will be shown in advanced filters. Customize and select multiple criteria such as: Status, Workspace Type, Client Workspaces, Actions Assigned to Me, Workspace Owner or Member, Current Step, Action Type, Start Date, Overdue Status, and Workspace Tags (if created).
View Types: You can select the View Types from the available dropdown menu- My View, Manager View, and Admin View for enhanced mapping capabilities.
Admin View
Admin users can click Admin View to see a comprehensive status overview of all open actions in your portal across all users. Admins can also select a specific user to view only their open actions.
The Admin View is only available to admins in your portal.
Manager View
Managers of an internal team, configured via the Admin portal, can view any open actions in workspaces owned by their team members.
Only Admins and Team Managers have the option to access the Manager and Admin Views.
Select Date Range to Export Data Efficiently:
- Last 12 months
- 13–24 months
- 25–36 months
Managing Actions Report Columns:
- Click on the Columns icon next to filters.
- Show, hide, or rearrange by dragging and dropping columns such as: Current Action Status, Action Name, Assignee, Created By, Workspace Name, Created By, Due Date, and Duration.
- Click Reset to revert to the default column setup.
Customizing Views
Customize your Actions Report section with advanced viewing capabilities.

Listing Grid View: A traditional table format with customizable columns.

Kanban Board View: Visualize actions by status, type, or tags in drag-and-drop columns.
Manage the view type:
- Click on the “+” Create New icon next to the Actions tab in the top bar.
- Select your view: Listing Grid or Kanban Board.
- Apply filters and click Save to the view.
- Navigate easily between the views.
- Click on the “...” ellipses icon next to the view to Rename, Duplicate, or Delete the view.
Kanban View Configuration:
- Default grouping: In Progress, Overdue, Completed
- Re-group by: Action Type or Tags
- Customize the display: Hide or rearrange columns or adapt layout to your workflow needs
Exporting Action Data:
- Click the Export icon on the top-right corner in the Actions Report page.
- Select whether to export all columns or current columns.
- Click Download to export data in CSV format.

- Save custom views per department or team.
- Use Kanban Views for real-time task tracking.
