Overview of the Manage Tab

The Manage Tab is a central hub for overseeing and managing business processes with clients, vendors, and partners. It provides a bird's-eye view of operations to ensure everything runs smoothly and efficiently. Through this tab, internal users and administrators can manage and oversee productivity, track key performance indicators (KPIs), and ensure that business processes stay on track.

To access the Manage tab, click on Manage from the top navigation bar. 

Here’s a detailed look at what the Manage Tab offers:


Engagement

The Engagement section gives you a comprehensive view of user activity and engagement within your portal. Within the Engagement section, you will see four tabs:

  • Clients: View client users' recent engagement, who they belong to, and any client groups the user is a part of. Click recent engagement and view workspaces both you and the client user are a part of, as well as types of engagement per user broken down by messages, files, e-signatures, actions, and meetings. Clients will only show if an internal user is assigned to the client.

  • Internal Teams: View the internal teams you manage or, if you're an administrator, all internal teams set up across your portal. This includes the groups of internal users and their assigned clients. You will also see each individual users, with their assigned client users and teams. Click on a user to see their latest activity. 

  • Pending Invites: See all pending invites to users in your portal and resend invitations if someone has not joined.

  • Contact Updates: View any clients added to your contacts. Internal users can start a 1:1 chat workspace with the user directly from this tab, if the feature is available in your Moxo package.


Reports

The Reports section is crucial for analyzing the efficiency of your processes and identifying areas for improvement. It offers various types of reports to help you monitor performance across your portal:

  • Open Workspaces: Get a complete overview of all open workspaces in your Moxo portal.

  • Open Actions: View all open actions across your Moxo workspaces.

  • Clients: See a list of client users who have open actions in your workspaces.

  • Internal Users: Monitor all internal users who have open actions in your workspaces.

  • Flow Performance: Analyze the number of Flows created versus completed, and the average duration to complete a Flow workspace. You can also see the top 10 flow template workspaces completed by owner.

  • Usage: This tab, accessible only by administrators, provides a comprehensive analysis of active users, portal engagement, client engagement and usage, internal user engagement and usage, workspace lists, action lists, and client coverage. It also includes per-user averages, reports on service requests, and live support data, if these features are enabled in your portal.


Calendar

The Calendar section displays your Moxo calendar, including upcoming meetings, prior meetings, and meeting recordings. You can start ad-hoc meetings, schedule meetings, and schedule Flow Workspaces directly from here.


Contacts

The Contacts tab shows all your contacts within the portal. It provides a centralized list of users you can interact with in workspaces.


Broadcast

The Broadcast tab allows you to manage your broadcast lists and send messages to groups of users individually in their 1:1 chat workspaces, if enabled. This feature saves time by letting you share information with multiple people at once. You can create new broadcast lists, manage existing ones, and send new broadcasts from this tab.


Audit

The Audit section records and saves every action a user takes within the Moxo platform. This includes messages, calls, actions, roles, reports, permissions, sessions, management, user import, login activities, and audit searches as well. Administrators must grant user permissions through the Administrator portal. The Audit section provides a detailed log for transparency and accountability within your portal.
